Job Overview
We are seeking a talented Human Resources Specialist to join our dynamic team at the Bulk Shop. The HR Specialist plays a vital role in overseeing various Human Resource functions including but not limited to managing hiring and contracts, HR Information System, Staff Performance Appraisal, Training and Development within the company.

Job Title: Human Resources Specialist
Report to: HR Operation Manager
Location: Head Office and Bulk Shop sites
Job Type: Fixed Term
Key Responsibilities:
A. Manage Hiring & Contracts
- Candidates sourcing: Utilize various channels such as recruitment agencies, social media, and professional networks to identify and attract potential candidates.
- Screening and selection: Review resumes, conduct initial screenings, and coordinate interviews to assess candidates’ qualifications and fit for the role.
- Interview: Conduct structured interviews using appropriate techniques to evaluate candidates’ skills, experience, and cultural fit.
- Offer management: Extend job offers, negotiate terms, and facilitate the offer acceptance process.
- Performance metrics: Tract and analyze recruitment data to assess the effectiveness of sourcing strategies, time-to-fill metrics, and overall recruitment performance.
B. Manage HRIS
- Maintaining accurate employee data, streamlining HR processes, and ensuring compliance with regulations.
- Data management: Ensuring data accuracy and integrity through regular audits and managing access levels to sensitive HR data based on roles and permissions.
- System maintenance: Collaborating with IT support to address system integration concerns and any technical issues that arise within the HRIS platform.
- Reporting & analysis: Generate customized reports on employee demographics, turnover rates, and other HR metrics and provide insights to management based on HR analytics derived from the HRIS.
- Training & support: Conducting training sessions for HR staff on how to utilize the HRIS effectively and documenting procedures and guidelines for HRIS usage and troubleshooting.
C. Staff Performance Appraisal
- Performance reviews: Conduct regular performance review meetings to discuss progress, strengths, areas for development, and career aspirations with each employee.
- Goal setting: Collaborate with employees to establish clear and measurable performance goals aligned with the company’s objectives.
- Regular Feedback: Provide constructive feedback on an ongoing basis to recognize achievements, address areas for improvement, and guide professional development.
- Performance monitoring: Continuously tract and monitor employee performance against established goals and key performance indicators (KPIs)
- Documentation: Maintain detailed records of employee performance, accomplishments, feedback, and any disciplinary actions taken throughout the appraisal period.
- Skill development: Identify training and development opportunities to enhance employees’ skills, knowledge, and capabilities in their current roles or for future career growth.
- Recognition Programs: Implement recognition programs to acknowledge outstanding performance, encourage motivation, and boost employee morale.
- Performance Improvement Plans (PIPs): Develop and implement performance improvement plans for employees who are not meeting performance expectations, providing support and guidance for improvement.
- Career Path Discussions: Engage in discussions about career aspirations, progression opportunities, and potential opportunities career paths within the organization to foster employee engagement and retention.
D. Training & Development
- Training Needs Assessment: Conducting assessments to identify the skills and knowledge gaps within the organization.
- Training Program Design: Designing training programs tailored to address identified needs, using various methods such as workshops, e-learning, and on-the-job training.
- Training Delivery: Facilitating training sessions, either directly or by coordinating with external trainers.
- Employee Development Planning: Collaborating with employees and managers to create development plans that align with career goals and organizational objectives.
- Compliance Training: Ensuring employees receive mandatory compliance training on topics such as safety, diversity, and harassment prevention.
- Evaluation and Feedback: Collecting feedback from participants to evaluate training effectiveness and make continuous improvement.
- Professional Development Initiatives: Recommending and implementing initiatives like mentoring programs, job rotations, or tuition reimbursement to support ongoing learning and growth.
E. Requirements
- Bachelor’s degree in human resources, Business Administration, or related field.
- Proven experience in an HR Specialist role or similar HR position.
- Strong understanding of HR functions, policies, and practices.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with integrity and professionalism.
- Proficiency in HRIS systems and Microsoft Office, and Microsoft 365.
F. Roster
- Five (5) & half days’ work, one (1) & half day off per week
